The following are some useful topics regarding software developed by the Research Data Services department. Please click on the headings to see detailed explanations.
Apply for a New User ID
Apply for a New User ID
If you are new to eRAP, the first thing you need to do is open a user account on the system. Mouse over "Request" menu item and select "New User" from the drop-down menu to begin. At any time, you may click on the "Help" link for additional information.

The "Apply for a New User ID" form should be filled out by anyone wishing to get access to eRAP for the first time and never had eRAP user ID before. When selecting this option you will be asked to provide the eRAP application and project you are applying for access to. Once the project is selected, a form will need to be filled out with user information for the account.


Note: it is important to enter your correct e-mail address. This address is used to send important notifications to you, and thus, you should notify the eRAP administrator of any changes ASAP.

Your request will be processed and a new account will be created. Two e-mails will be sent to you as part of the process of creating your account. The first e-mail is used to verify your e-mail address and will be sent to you immediately after your request is submitted. Follow the instructions in this e-mail to validate your e-mail address. After this step, a new user account will be created within 24 hours. You will receive a second e-mail containing your user ID and a temporary password. Follow the instructions in the second e-mail to activate your account.

You must change your password upon your first login. Your new password should be easy for you to remember, but it must comply with the system’s password rules. It must be a combination of 8 letters or numbers (lower and upper case) with minimum of one upper case letter and one number. Next, create your password question/answer combination after the password change. When prompted for a password in the future, please use your new password and discard the temporary password.

If you have forgotten your password, click on “Forgot Password?”



Enter your Login in the first textbox, enter your e-mail address in the second textbox, and then enter the “Text on the Image” (Captcha) in the third textbox. When you’re done, click on “Submit” and the system will e-mail your password to you.

If you don’t remember your user name, click on the link “Forgot User Name.”



Enter your e-mail address in the first textbox and then enter the “Text on the Image” (Captcha) in the second textbox. When you’re done, click on “Submit” and the system will e-mail your username to you.
Account is Inactive

If your account becomes inactive, you will be given the change to activate. Login as you normally would and you will see the following screen.



Enter your email address and the text on the image fields. Click on "Submit". You will receive an e-mail notifying you that your account has been reactivated. You can now login.

If your account is locked, you will be given a chance to unlock. Login as you normally would and you will see the following screen.



Enter your email address and the text on the image fields. Click on "Submit". You will receive an e-mail with instructions to unlock your account. Follow the instructions in the email and then you will be able to login.

To change your password, from the Home page click on "Account Settings."

Enter the requested information. The "Text on picture" field is mandatory for security purposes. The eRAP application is a study name, a database name, or a laboratory name. When you’re done, click on the "submit" button.

After you have successfully logged in, you will see the home screen. To request access to a project, select "Project Access Request."

To change your account settings, click on "Account Settings."

And then choose whether you’d like to change your password, create links to other accounts, or external links.

To change your password, click on "password." Enter the requested information and click on "Change Password."

To create links to other accounts that you have, click on "Linked Accounts" and fill in the requested information. When you’re finished, click on "Save." Currently, we only support links to Info-Ed International and MSSM’s E-Learning.

To use External Links, click on the External Links tab (1), fill out the Link detail information (2), and click Save (3) to create the link. The links that you create will be displayed in the My Links section (4) and shared links are displayed below that (5). Selecting the green plus button (6) will enable the external link.


Enabled external links will be displayed near the top of the page.



Next to access the database, click on "Human Research" to access the human trial area.

Select the database that you’re interested in and then click on "Entry Screens" to access the lookup page.

Enter the name of the patient that you are interested in and click on the "Lookup" button. If you’re unsure of the patient’s name, enter the first few letters of his/her name and press the "Lookup" button. The program will return a list of all names which contain the characters that you entered. If you’d like to see a list of the most recent 250 patients, click on the "Recent 250" button.

Select the donor (patient) that you’re interested in and click on their id number or to create a new patient, click on the "Create Patient" button.

This will display the donor’s (patient) information. To add a new Visit, scroll down to the bottom of the page and click on the button marked "Add New Visit."

Or you may choose one of the existing visits, denoted by the red box.

For each screen, enter (or edit) the requested information and click on the "Save" button.

Make sure to click on the "Save" button before leaving each page. If you forget, the system will remind you with this message. Click on "Cancel" and then save the page before continuing.

How to Login
To login to eRAP, enter your user name and password. Then click on "Login".

If you don't have an eRAP username & password, click on "New User". (Additional help is available under the topic, "Apply for a New User ID."

The "Request an eRAP Demo" option should be used to request a demonstration of the eRAP application, Rapid Database Generator and/or our Schedule application. When selecting this option you will be asked to provide contact information and a message. In the message field, please describe the eRAP features you are interested in and provide scheduling availability.

The "Report Technical Issue" option should be used to report unexpected errors with a specific eRAP project. When you select this option you will be first be asked for the project where this error occurred. Once you select a project you will be asked to provide contact information and describe the error. The "Report an issue/change to my user account" option should be used to request help with an account issue that cannot be resolved with the automated account recovery tools available on the login page. When selecting this option, you will be asked to provide contact information and describe the account issue.

eRAP User Self Help

Beginning on 11/15/2012, a user self-help page will be available in eRAP by clicking on the "Help" link on the bottom right hand side of the page.



This will bring you to the Help page. In section (1) you will see a list of available help articles which are applicable to page you were on. Click on the select icon next to the article you are interested in and eRAP will display the full help article in section (2). If you need additional help, you can search the help article library in section (3), or you may contact the eRAP support team by clicking on the link (4).



Additionally, an instruction guide is available for running reports and using filters. On the main reports page, click on the link "Instructions for running a Report"….



… and you can browse through the documentation for running reports and in part 2, using filters.

What is eRAP?
The Electronic Research Application Portal (eRAP) provides secure access to the Applications developed by Research IT Development group and links to other Web Applications.
Rapid Database Generator (RDG) has capability to develop rapid custom databases for longitudinal single and multi-site studies.
The eRAP Calendar application is used for scheduling and tracking the times that resources are utilized.
What is eRAP Calendar?
The eRAP Calendar application is used for scheduling and tracking the times that resources are utilized.
The Calendar application allows users to maintain many of the resources they use in a customizable format, with customizable scheduling rules.
Users can create resources they wish to schedule, add appointments, view the appointments on a dynamic calendar and generate reports related to their resources that can be exported to an excel or PDF file.
What is Rapid Database Generator (RDG)?
The Rapid Database Generator application is used to store data, primarily for research projects and it is also used for non-research applications.
The Rapid Database Generator has features to allow creation of a database and entry screens using a relatively easy to use interface.
It also has a reporting feature that is good at creating most reports.
The Rapid Database Generator provides quick, easy development of patient management services in support of consent management, family and medical history questionnaires, and other clinical annotations.

User Role Assignment Procedure.
For new and existing users.


  1. Find User
    1. Login to eRAP and activate Portal Admin application.
    2. Click on "Users" menu item on the left hand side.
    3. Select "All Projects" in the "Project" drop down (this is a mandatory step for new users)
    4. Enter user's login into "Login" field.
      For new users, the login will be in the email notification. For existing users, please enter the last name in the "last name" field. (Note: The screenshots throughout this guide assumes "new user".)
    5. Press "Lookup" button.

    If the user was successfully found, the result will appear in the table below
    1. Click on edit icon at the start of the row to open the user record.

    Once the user's record is opened, access user applications
    1. Click "Applications" tab to open user's applications.

    2. Click on green plus sign button to add an Application.

    2. Click on green plus sign button to add an Application.

  6. User Application Modules (aka Projects).
    1. For new users modules list will be empty.
      For existing users, skip to the next step.
    2. Click on the plus green button to add a module.

  7. User Application Modules (aka Projects).
    1. Click on the "roles" link to proceed to the role assignment.
    2. Click on the plus green button to add a module.

  8. User Module (aka project) Role(s).
    1. Click on the plus green button to add a role from commonly used roles.
    2. Click on the plus green button to add a role if it does not exist in the commonly used roles.

  9. User Module (aka project) Role(s).
    1. In "Role Approved" drop down select "No".
      It is not recommended to select "Yes" for new users.
      The user will not receive the login name and password notification if you click "Yes".
    2. Click on "Save" button to save a role.

  10. User Module (aka project) Role(s).
    1. The saved role will appear in the user roles list.
    2. Activate the "Send Approval Notification" button to start user access approval workflow.

  11. User Module (aka project) Role(s).
    1. Once the approval notification is sent only users roles list will be visible. This completes the user role configuration process.
      The user will not have access to eRAP (for new users) or the project (for existing users) until project approver approves the user.
